Open Position: Recruitment Team Lead
We are actively seeking to hire one (1) Recruitment Team Lead. This position reports to the Band Director and will be a full time contract position from April 12 - August 25, 2025. Dates may vary depending on successful applicant availability.
The Recruitment Team Lead plays a pivotal role in ensuring the smooth operation of the team. Responsibilities can include clarifying roles and responsibilities, organizing project information to understand the overall process, and devising daily and weekly tasks to maintain project momentum. They will delegate tasks effectively, conducting regular check-ins with team members to gauge workload and address any concerns they may have. Additionally, they will be tasked with creating a rough timeline for project milestones throughout the year and fostering constant communication among team members. Managing a shared calendar for personal-life conflicts that may affect project progress and enforcing accountability for completing tasks within working hours will also be key aspects of the role.
This position is being funded by a grant, as such, applicants must meet the following criteria:
- Under the age of 30;
- Actively enrolled in a post-secondary education program and returning/enrolled to a post-secondary program in September 2025

Open Position: Presentation Coordinator
We are actively seeking to hire one (1) Presentation Coordinator. This position reports to the Recruitment Team Lead and will be a full time contract position from April 12 - August 25, 2025. Dates may vary depending on successful applicant availability.
The Presentation Coordinator will be keeping track of outreach flowchart, updating tracking list based on who has been contacted and the stage of contact, ensuring deliverables are completed on time, contacts are being followed up with appropriately, and organizing files and lists for maximum efficiency and effectiveness. This role is the main point of communication between schools/teachers and the rest of the team and will maintain an organized email inbox and respond to inquiries in a timely manner. There is also a supportive element, providing additional support to community ambassadors and other duties as needed.
This role includes:
• Contacting schools, office administration, and music organizations to set up presentations and distribute information material
• Maintaining strong communication with key stakeholders (e.g. highly-interested music teachers; loyal businesses; etc.)
• Assisting in the coordination of recruiting events such as the parent information nights
• Tracking and organizing KPIs such as engagement metrics, sign-up numbers, and the number of presentations to inform future recruiting teams

Casual Position: April, May & June 2025
Open Position (x5): Community Ambassador
This position will be on demand basis. Community Ambassadors will be contacted by the Recruitment Team Lead to schedule presentations. The Community Ambassador will be paid per completed presentation.
We are actively seeking to hire multiple Community Ambassadors to complete presentations throughout the months of April, May and June. This position will report to the Recruitment Team Lead. This position will be flexible with hours, but applicants must be available to work hours within Monday to Friday (8:30 - 5:30).
Community ambassadors serve as the intermediary between the youth band programs (Calgary Round-Up Band and Calgary Stetson Show Band) and the external community. Presentations given should be presented effectively, with enthusiasm, and in a relatable way to the audience. Community ambassadors must possess genuine interest and support for the programs being offered and maintain a positive, friendly outlook. Having an adaptable communication style is important to be able to interact with a variety of ages and backgrounds.
Specific tasks may include:
• Facilitating school presentations and/or community presentations or events
- Collecting prospective member feedback and data for further contact
- Answering community members’ questions
- Communicating with other team members and community ambassadors about availability, successes, and shortcomings
- Promoting the benefits of being involved in the Calgary Round-Up Band and Calgary Stetson Show Band
